How Much Party Stuff Do You Actually Need?

Running out is stressful. Buying twice as much as you need is expensive.

Instead of guessing on plates, cups, napkins, flatware, favors and serving pieces, start with three things: guest count, event length and serving style.

Count by guest

  • Plates: meal, appetizer, dessert or bowls?
  • Cups: guests may use more than one depending on beverages
  • Napkins: plan for meals, drinks, dessert and spills
  • Flatware: match the menu and count serving utensils separately
  • Favors/prizes: confirmed guests plus a modest buffer

Did You Think of This?

Serving style changes quantities. A seated meal, buffet, grazing table and open house do not use supplies in the same way.

Count by station too

  • Food table serving pieces
  • Beverage station cups, ice, opener, stirrers or straws if needed
  • Dessert plates/forks/napkins
  • Activity/game supplies
  • Trash/recycling bags

Build a modest buffer for spills, unexpected guests and damaged pieces, but keep unopened returnable extras separate when store policy allows.
